FAQ'S:  COUPLES WANT TO KNOW. . .

There are so many details that go into planning your special day, you are bound to have a lot of questions. We hope this Frequently Asked Questions page can help with some of your planning. Please contact us if you'd like more information about a subject.

What should I wear as a guest to an event at Mayowood Stone Barn?

Attire should be chosen based on the formality of the invitation you received. Some events are more casual than others. Also, as many ceremonies and/or social hours are held outdoors, be sure to dress appropriately for the weather.  The most important factor is SHOES! We would highly recommend not wearing spike heels. Wedges, flats, boots, etc. work better on the multiple surfaces at the property.

What areas are there at the barn for rental?

The main barn has two floors; The Carriage Way, the main level of the main barn typically used for receptions and programs and the Loft, upper level typically used for indoor ceremonies and dances. The West barn is for smaller groups or private use by the wedding party. This includes the Blacksmith Shop, Grooms Room and Bridle Room. There are also the grounds to consider for outdoor ceremonies, social hour, games and additional space utilizing tents.

What is the capacity of the barn?

The official capacity for the barn on the main level and Loft is 300. Groups of this size will need to utilize all harvest tables to maximize seating.Please note:  Our rental contracts include tables and chairs for up to 250. Larger groups may rent additional tables and chairs through us.

Do you have to use a certain caterer at the barn?

Yes, we have exclusive catering and bar service through Powers Ventures, also known as Canadian Honker Catering and Pinnacle Catering. They have been in business for over 30 years and provide experienced chefs, professional catering staff, delicious food and flexible menus. Can I bring my own liquor?

No, all alcohol for your event must be provided and served by Powers Ventures under our catering liquor license and insurance. There are options for Hosted Bar, Cash Bar or a combination of the two.  If you have questions about pricing or service, please contact us at 507-258-4633.

Do you provide tables and chairs?

We provide tables and chairs for up to 250 guests.  Reception seating is Natural Wooden Chiavari Chairs with an ivory seat cushion.Ceremony seating is white deluxe folding chairs.We have banquet (6' and 8') and round (60" and 72") tables as well as high top tables (24" and 36")

Do we have to set up the tables and chairs?

No, we handle the table and chair set-up and take down!  Our set-up crew will arrange the tables and chairs per a customized layout that we create for you. 

How early can we start setting up for our event?

The start time for our standard wedding venue rental is 10:00 AM.

What are the added costs after the rental fees are paid?

After you have placed your reservation, we don't want any surprise costs. You are responsible to book and pay for your vendors to service and decorate your event.

Our rentals include tables and chairs for up to 250 guests.  Larger groups must rent additional tables and chairs through us.

 

There is a $500 damage deposit which will be returned unless there is excessive clean up or damage.

There is also the option to pay $350 for rental of our furnishings and decor in the stables.

When can I come in for a tour?

Tours are scheduled in one hour appointments. Appointment availability varies based on event schedule. Contact us to set up your tour! (507) 281-2276.

Can I do a photo shoot at the Mayowood Stone Barn?

Mayowood Stone Barn is private property and our focus is on hosting events and weddings. Due to event schedules and liability, we cannot allow private photo shoots onsite. Those hosting and attending events are, of course, welcome to take pictures onsite during their events. We respectfully request that the public not use our private grounds if they are not participating in an event.

Does the barn have events during the week?

We are available for weekday rentals on Monday through Thursday. Rentals may begin as early as 8:00AM and end as late as 10:00PM.Pricing varies based on event plans. Please contact us for more information.

Do you provide linens?

Yes, we provide catering style linens in ivory, white or black.  If you prefer floor length, specialty or colored linens, they would need to be rented by the client.

Do you have a projector and screen?

We do have a projector and screen permanently mounted on the main level of the barn on the east side.  If you would like to utilize a projector in a different area, one would need to be brought in.

Is there running water and electricity?

Yes, we have plenty of outlets throughout the barn.  We do have city water. There are faucets in the restrooms and a mop-sink in our utility closet.

Is there enough parking onsite for my guests?

There should be plenty of parking for your event.  We have parking in the field behind the fence and additional parking behind the pole barn. We do highly recommend utilizing shuttle services from your hotel if possible.  This is not just to minimize the number of cars parked, but also for safety if guests are having alcoholic beverages.

Do you have an elevator to the Loft?

We do!  We have a lift located on the west side of the barn for your convenience.

Can we set up outdoor games?

Absolutely! There is a fabulous flat grassy shaded area near the fire-pit on the North side of the barn. Note: Bean bags and ladder golf tend to work the best for most groups.

Is there a sound system at the barn?

Yes, three actually!  We have a 12-channel mixer in the Loft and on the main floor with permanent ceiling-mounted speakers.  A cordless microphone is included with each system. We have a portable sound system used for outdoor ceremonies with two wired microphones.  Each system has XLR and 1/4" input ports. We also have an auxiliary cord to use with our systems that allows you to play music through any device that has a headphone jack.

All music must be played through our sound systems as required by our Conditional Use Permit granted by the City of Rochester.

Can I have a band for the dance?

We are not allowed to have live bands at the property.  Guitars, small ensembles* and similar groups may play inside the barn with the condition that they utilize our sound system.

*This means acoustic groups or bluegrass/jazz style bands with no drum kits or monitors/return speakers.

Is there a bathroom at the barn?

We have a brand new indoor bathroom facility at the barn. The restrooms can be reached from the Southwest interior of the barn's main level as well as through two exterior doors.

Do we need to rent a dance floor?

You do not have to rent a dance floor, we do have one at the Mayowood Stone Barn available at no additional charge.

Where would our ceremony take place?

Our summer ceremonies take place outdoors.  There are options for under a large tree, in the open field or in front of the Blacksmith Shop limestone patio.  We have a great deal of open space to choose a ceremony location!  Our back-up location in the summer; or a first choice for our spring and fall weddings would be the beautiful Loft.

Is there heating and air conditioning at the barn?

There are HVAC systems installed throughout the facilities.

Is there a place onsite to get ready?

We have the Bridle Room for the bride and bridesmaids to get ready.  It has a kitchenette, sitting and dining areas, restroom, changing area and plenty of mirrors. You are welcome to have hair and makeup done onsite.  Gentlemen can relax in the Grooms Room.

Can I have an onsite rehearsal?

Friday weddings can include Thursday as part of the rental for an additional $500, so a rehearsal is easily arranged for the night before.   Rehearsals can be scheduled in two hour increments Monday through Wednesday 8:00AM to 8:00PM for $150.   Some Saturday and Sunday couples have done a rehearsal early in the morning.

**Another great option is to utilize a conference room in your hotel {set up in ceremony format} or run through the ceremony in a park near your rehearsal dinner site.

Is there someone onsite during the day?

We do have someone onsite during the day. Our staff or a security guard will be present to assist with venue related needs to do with set-up, tables and chairs, sound systems, restrooms and questions about the grounds or policies.

Can we leave items overnight?

Our policy is that everything must be removed at the end of the rental period, however sometimes that can be difficult. Permission must be requested to leave items overnight.  The barn and all other rental spaces must be completely cleared out. Anything remaining at the barn for future pick-up must be placed in the stables.  We are not responsible for lost or stolen items.

When does everyone have to be off the property?

All guests must leave within half an hour of the event ending time.  Staff, vendors and all helpers must vacate one hour after event ending time.Friday and Saturday - 11:30 for guests, 12:00AM for staff, Sunday - 10:30PM for guests, 11:00PM for staff.

Can we leave cars in the parking lot overnight?

Yes, of course!  We want you and your guests to be safe.  Vehicles left overnight must be picked up by 10:30AM.

If cars are left beyond that time and pose a problem, they will be towed at the vehicle owner's expense.

Are the string lights always up in the barn?

Yes!  We have the string lights hung along all of the archways on the main level as well as draped from the ceiling to knee-wall in the Loft.

Are animals allowed at the barn for weddings?

Dogs are welcome to be included in your ceremony- outdoors or in the loft only.  Pets are not allowed in the main Carriage Way where food is being served, or to be kenneled or tied up in any of the rental areas or on the grounds. Clean up is mandatory.

Anyone bringing horses can park onsite with a truck/trailer - proof of insurance is required for any riding/horse-drawn carriages brought onsite.

Do I have to hire a security guard?

No, you do not need to hire a security guard.  Mayowood Stone Barn will schedule and provide the required security guard for Friday and Saturday weddings.
